What is the purpose and grounds for processing?
The City of Reykjavík needs to use your personal information to process your application for participation in the Smart City Hackathon. The processing is based on your acceptance. It may prove impossible to process your application if you do not provide the City of Reykjavík with the requested information.
What information will be used?
In order to be able to process your application for participation in the Smart City Hackathon, the City of Reykjavík finds it necessary to process further specified personal information about you. The personal information that you submit will be processed. All applications for participation in the Smart City Hackathon are preserved by the City of Reykjavík. In order for the City of Reykjavík to be able to legally preserve the information, you are requested to provide your name and e-mail address. This contact information is used to contact you and to preserve your application in a secure manner in accordance with legal obligations.
At the same time, Smart City requests that applicants register on its mailing list. This mailing list is used for the purpose of distributing news, information and promotional material from Smart City to those who have registered on the mailing list. The mailing list will not be disclosed to a third party. You can remove yourself from the mailing list at any time.
Where does the information come from?
Personal information is supplied by the registered party when an application for participation in the Smart City Hackathon is submitted.
How long is the information kept?
All applications are kept indefinitely on the basis of legal obligations to which the City of Reykjavík is subject. After a specified length of time, the City of Reykjavík, moreover, is under obligation to submit for preservation all data used for processing to the Reykjavík Municipal Archives (Borgarskjalasafn).
How do we secure the safety of your personal information?
The City of Reykjavík guards the security of personal information using the appropriate organisational and technological measures, such as access controls and encoding. All employees involved in the processing of your personal information are bound by confidentiality agreements.
Disclosure of personal data to third parties
The City of Reykjavík may use the assistance of third parties to host the personal information that is processed in connection with a range of enquiries submitted to the City of Reykjavík. The same may apply to other forms of IT services. Such entities may, therefore, have access to your personal information. Their access to your personal information, however, is based on a written contract with the City of Reykjavík which ensures the security and confidentiality of your information.
The City of Reykjavík will not disclose your information to other parties unless the City is under obligation to do so on the basis of law, administrative provisions or court ruling. In addition, the City will not disclose your information outside the European Economic Area except in the event of special authorisation thereto and will notify you of such event.
You may be entitled to have access to the personal information that you have provided to the City of Reykjavík through your application. You may, moreover, be entitled to object to the processing of your personal information, require such information to be deleted, limit the scope of processing and/or receive the information in computerised format or have a third party receive such.
